Job Purpose:

The Executive Assistant provides administrative support to 2 senior-level executive and team. This position is complex and requires the highest level of discretion and independent judgment. The Executive Assistant within this role requires strong relationship and team skills and ability to work with a diverse group of stakeholders across the organization

Key Responsibilities:

• Provide administrative support to 2 senior-level executive and team

• Maintain frequently changing calendars through Outlook and understand Executive's priorities to effectively manage that calendar

Coordinate all aspects of executive level appointments, meetings, receptions and conference calls / video conference / Live Meeting for multiple time zones

• Organize and secure highly confidential company and employee information including Organizational Charts

• Handle incoming calls and be able to exercise independent discretion when responding to inquiries

• Prepares and reviews materials and correspondence for meetings; ensures Executive is prepared

• Assist with creation/modification of presentations, spreadsheets, and other various documents

• Coordinate frequent travel arrangements

• Prepare, reconcile, and track expense reports on a timely and accurately through T&E system

• Order supplies and process invoices through P2P system

• Serve as back up support for other managers or administrative staff when required

• Manage and assist in adhoc reports and special projects as needed often requiring independent discretion and follow up

• Assist with creating communications and presentations for internal and external meetings

• Process accounts payable and receivable items, maintain and order standard office supplies, assist with procurement processes in multiple regions

• Process Procure-to-Pay CTO Commodity Approval Levels in partnership with Finance

• Assist with new hire on-boarding process, and ensure incoming staff are effectively set up with required capabilities for their role

• Assist Business Office by facilitating space planning and move requests for the organization including coordinating facility related tasks

• Maintain Renault Resource Data

• Assist Business Office with Organizational Townhalls and Events

• Create/maintain global distribution lists

• Process I-9 in partnership with Human Resources

• Assist Business Office with Special Projects

Citi Architecture and Technology Engineering (CATE) has an opening for an Executive Assistant. This role requires strong relationship and team skills and ability to work with a diverse group of stakeholders across CATE and its business lines. The candidate will primarily provide administrative support to 2 senior-level executives and provide day-to-day support with Calender / Scheduling, Document and Presentation Preparation, Travel Coordination, Events / Logistical Liaison, and Office Supply management. Assist the Business Office with special projects and handle incoming calls with the ability to exercise independent discretion when responding to inquiries. The candidate should have strong interpersonal and written skills and be able to work effectively with others.

Qualifications:

• Undergraduate degree required (Bachelor’s Degree)

• Prior experience as an Administrative Assistant required (8+ years) and at least 5 years experience as a senior level assistant
